What "SMTP for cold email" means

Your sequencer (Instantly, Smartlead, EmailBison and the rest) does not send email by itself. It logs in to mailboxes and sends through them. Each mailbox needs two sets of credentials: SMTP to send, and IMAP to read replies so the sequencer can stop a sequence when someone answers.

Most teams start with Google Workspace or Microsoft 365 seats for this. Those are office suites priced per user and governed by policies written for a company's everyday email. An SMTP provider for cold email gives you the same two things, an SMTP login and an IMAP login, on infrastructure where outbound is the intended use and mailboxes are priced for volume.

On Winnr, every mailbox gets SMTP on port 465 and IMAP on port 993, both over SSL/TLS, with the full email address as the username. You never type these by hand: the export file for your sequencer carries the right host, port and password for each mailbox.

What SMTP mailboxes are and aren't good for

Deliverability is shared work

Winnr controls the infrastructure: authentication, DNS health, warming and the reputation of the sending IPs. You control the list, the copy and the volume. The recommended pace is about 50 emails per mailbox per day after warmup, and more volume should come from more mailboxes and domains rather than from pushing each mailbox harder. Before relying on a set of mailboxes for Gmail or Microsoft prospects, run a seed placement test to the providers your prospects use.

Shared IPs by default, dedicated if you need them

By default your mailboxes send from shared IP pools that Winnr runs and monitors. A well-run shared pool often beats an under-used dedicated IP. If you send high, steady volume and want a reputation no other sender can touch, the Enterprise plan offers dedicated IPs at $20 per IP per month, set up on request.

When SMTP is the wrong choice

  • You need Google- or Microsoft-hosted mailboxes specifically. If your playbook depends on sending from Google Workspace or Microsoft 365 inboxes, a provider that resells those seats is the better fit.
  • You need an office suite. Winnr has no documents, calendar or video. Keep your team's everyday email where it is and use Winnr for separate outbound domains.
  • You send a few dozen emails a day. One or two regular inboxes are usually enough at that scale. Winnr makes sense once you need many mailboxes across several domains.
  • You want a campaign tool. Winnr has no sequence editor or lead database. It feeds mailboxes to the tool that does.

SMTP for cold email: common questions

What is an SMTP provider for cold email?

A service that gives you mailboxes with SMTP credentials for sending and IMAP credentials for reading replies, which you connect to a cold email sequencer. Winnr creates those mailboxes on your own domains with SPF, DKIM and DMARC configured, on infrastructure built for outbound rather than on Google Workspace or Microsoft 365.

Which sequencers work with Winnr's SMTP mailboxes?

Is SMTP worse for deliverability than Google Workspace?

Not inherently. Inbox placement depends on domain reputation, authentication, list quality, content and volume as much as on who hosts the mailbox. Some teams prefer Google- or Microsoft-hosted mailboxes for specific audiences, and that is a reasonable choice. How many emails can each mailbox send per day?

Plans are sized at about 50 emails per mailbox per day after warmup: Startup's 50 mailboxes carry about 2,500 emails a day and Enterprise's 200 about 10,000. Keep each mailbox at or under that, including any warming, and add mailboxes and domains when you need more volume.

Do I have to set up DNS myself?

Not for domains you buy through Winnr: SPF, DKIM, DMARC and MX records are created automatically. For domains you already own, either point the nameservers at Winnr so it manages the records, or add the records Winnr gives you at your current DNS host.

Can I get a dedicated IP?

Yes, on the Enterprise plan, at $20 per IP per month. Email support to request one; the team assigns it and moves your sending domains onto it. Most senders do well on the shared pools, and dedicated IPs pay off at high, steady volume. See dedicated IPs.

Is there a contract or a free trial?

Plans are billed monthly with no annual contract, and you can cancel anytime. There is no free trial: creating mailboxes and adding domains needs a paid plan, starting with Startup at $69 a month.

Can I automate setup with an API?

Yes. The REST API covers domains, mailboxes, warming, the inbox and exports, and the hosted MCP server lets Claude, ChatGPT, Cursor and other AI assistants do the same in plain language. API docs are at app.winnr.app/docs.
