Quick answer

A template is a saved list of up to 10 mailboxes (full name plus username). Create one in Settings → Tools → Email Templates → Create Template, or tick "Save these users as a template" while adding mailboxes. When you add mailboxes later, click Apply Template in the Configure Users step to fill in the whole set, then create them on as many domains as you selected. Templates only store names; no mailboxes are created until you use one.

Why use templates

If you run the same personas on every domain, typing the same five names into every new setup is slow and error-prone. A template holds that set, so adding mailboxes to new domains is: select domains, Apply Template, create.

Naming tips

The same naming rules apply as for any mailbox: real first names or first-and-last combinations, no role addresses like sales@ or info@, and no numbers. See Create email mailboxes.

What's next

Step-by-step

  1. 1. Open the templates page

App sidebar → Settings → Tools → Email Templates. The Email User Templates card lists your saved templates.

  2. 2. Create a template

Click Create Template, enter a Template Name (for example "Sales Team"), and add up to 10 rows of Full Name and Username. Click Create Template to save.

  3. 3. Or save one while adding mailboxes

In the Add Email User dialog, after filling in the Configure Users step, tick "Save these users as a template" and give it a name. It's saved when you create the mailboxes.

  4. 4. Apply it

Email Users → Add Email User → select your domains → Apply Template in the Configure Users step → pick the template. The rows fill in and you can still edit them before creating.

  5. 5. Edit or delete

On the templates page, open the "..." menu on a template and choose Edit or Delete. Changing or deleting a template doesn't affect mailboxes already created from it.

Frequently asked questions

How many users can a template hold?

Up to 10, the same as one batch in the Add Email User dialog.

Does a template create mailboxes on its own?

No. It only stores names and usernames. Mailboxes are created when you apply the template in the Add Email User dialog and click Create Email Users.

Can I use one template across many domains?

Yes, that's the main use. Select several domains in the first step, apply the template, and each user is created on every selected domain (subject to each domain's mailbox limit).

Can the Winnr Agent manage templates?

Yes. The Winnr Agent in the chat panel can list, create and delete email user templates. Creating and deleting wait for you to click Confirm.

Can I manage templates through the API?

Yes. Email user templates have their own API endpoints. See the [API docs](https://app.winnr.app/docs).
